Running BimaHaq as the owner / admin

Your daily command centre — briefing, approvals, team, compliance and automations.

The admin workspace is where you run the whole platform: clear the daily briefing, approve every AI draft before it reaches a customer, onboard teammates, triage DPDP requests, empanel advocates and experts, and wire up automations. This guide walks each journey in the order you do it, and flags the guardrails that stop you from crossing a legal line.

Workspace: /adminSign in: You don't self-sign-up. An existing admin invites you; open the email and set your password from the link, then sign in at /auth/login and you land on the Admin workspace.

1. The big picture

The AdminShell sub-nav (a scrolling row of pill tabs, labelled “Admin sections”) is your site map and shows on every /admin page. Your day usually starts at the Briefing and flows out to wherever it deep-links. Note: the AI approval queue and follow-up cadences live under /ops/*, not in the tab row — you reach them from briefing links or the approvals footer.

Compliance: Nothing customer-facing goes out on its own. Every AI draft waits for your human approve/edit/reject, AI never issues a claim verdict, and experts and advocates draft their own work — you and ops only approve.

2. Get access & sign in

Admins are invited, never self-registered. Another admin adds you on the Team screen, which emails you a set-password link.

Tip: The admin dashboard (/admin) shows KPI tiles and a recent-activity feed; use the AdminShell tab row to reach every other section.

3. Read the daily briefing & clear overdue items

The briefing is your command centre: a ranked “needs you now” roll-up with the customer-query turnaround watchdog first. It auto-refreshes every 60 seconds and deep-links each row to where it is actioned.

Watch out: The turnaround (TAT) guarantee is binding: the #1 section flags inbound WhatsApp/email with no first reply within the turnaround time, breached rows in red. Clear them before anything else.
Note: If a background refresh fails, a footer reads “Couldn’t refresh — showing data from <time>. Retrying…” so staleness is never hidden. Empty sections show their own empty text, e.g. “No AI drafts waiting on you.”

4. Approve, edit or reject a pending AI draft

The approval queue at /ops/approvals lists every AI draft awaiting sign-off across all cases. This is where the “AI never auto-sends” rule is enforced — nothing reaches a customer until you approve it here, editing re-runs the same compliance scan, and a blocking flag must be fixed or overridden with justification.

Compliance: This queue is the guardrail: “Nothing reaches a customer until you approve it here.” Never wire around it — the same pre-send compliance scan runs on every edit, and AI never issues a claim verdict.
Watch out: A draft with unsaved edits (dirty) disables the deliver select, “Approve (no deliver)” and Override — you must Save edits (which re-scans) first. If approve is blocked by a guardrail, the Override button appears only for a genuine false positive and needs a justification of at least 15 characters.
Note: When the queue is clear it shows an “Inbox zero” empty state.

5. Onboard a teammate (Team)

On the Team screen you invite brand-new emails (which emails a set-password link) or onboard an existing account via a per-row set-up link, and manage each teammate’s role and status.

Watch out: Inviting an email that already has an account returns a 409 — a toast redirects you to “Send set-up link” on that person’s row instead. Your own row’s Role select, “Send set-up link” and Suspend/Activate are disabled, and the server also blocks self-suspend and last-admin removal so you can’t lock yourself out.
Note: If more users exist than are loaded, an amber “Showing N of M” note appears (search is “coming soon”) — a teammate may not be in the visible list. If a set-up link is created but the email fails, a toast tells you to check the email config and resend.

6. Review the DPDP / compliance queue

On the Compliance (DPDP) screen you triage data-subject export and deletion requests within 30 days, with legal-retention blocks surfaced, plus the tamper-evident audit-log hash chain and the retention/erasure policy schedule.

Compliance: Export and deletion requests must be processed within 30 days. A rejection needs a user-visible reason of at least 4 characters.
Watch out: A deletion blocked by legal retention (409) shows “Blocked by legal retention: <reason>” and is NOT deleted — records the law requires us to keep stay under restricted access until their retention period ends. If “Verify chain” finds tampering it banners “Chain broken at line <n>.”

7. Empanel an advocate/expert & assign work

On the Advocates and Experts screens you review empanelment applications, correct OCR-extracted details, and empanel/reject/suspend. On Advocate assignments you assign the ₹2,999 legal notices and push case tasks or mediations to empanelled advocates. The Experts panel staffs the expert call in the ₹1,499 Claim Review + Expert Call service.

    On an advocate whose forums include Mediator, click “Add to mediator panel”, pick the dispute types and languages they mediate, and submit — same login, no second account. Their row then shows a “Mediator panel” badge.

    Add an insurance expert

    Click “Add expert”, enter their email and name, set years of experience in insurance / highest qualification / III qualification, tick the expertise areas that decide which calls they get, then “Add expert”. Creates their login (a set-your-password link is emailed) and their profile in one step — tick “empanel immediately” to skip review (it needs at least one expertise area).

    Upload an expert's documents for them

    On their row click “Docs”, pick the type (III certificate, degree / diploma, cancelled cheque / bank proof, PAN, ID proof, CV), then Upload — the file lands on their profile without waiting for them to log in.

Compliance: Advocates and experts draft their own work — AI does not, and you/ops only approve it. BimaHaq charges no percentage-of-claim or success fee and does not share fees with advocates; there is no paid non-advocate representation before Consumer Commissions.
Watch out: Choosing Kind “Mediation (mediator only)” restricts the advocate dropdown to panel members flagged as mediators. Assign/Reassign shows only for awaiting_assignment/assigned/declined items — delivered/completed/cancelled items expose no assign or cancel controls, and Cancel requires a reason via prompt. Once an advocate is empanelled the Empanel action becomes Suspend.
Compliance: An advocate added to the ODR mediator panel wears two hats on one login. A mediator must stay neutral: never route them a mediation on a case where they also act (or acted) as the advocate.

8. Configure an automation

On the Automations screen you compose event-driven workflows — one trigger, ANDed condition filters, an ordered action chain — plus a runs log. Internal actions run autonomously, but any AI-draft action is autonomy “draft_for_review” and always queues for human approval; it never auto-sends.

Compliance: An AI-draft action never sends on its own: it is autonomy “draft_for_review”, so the generated draft lands in the /ops/approvals queue for your sign-off before anything reaches a customer.
Watch out: Deleting a workflow is irreversible and gated by a confirm dialog (“Delete workflow “<name>”? This cannot be undone.”). With no workflows yet the screen shows a “No workflows yet.” empty state.

9. Privacy & compliance guardrails

These constraints are baked into the workspace so you can move fast without crossing a line. Treat them as non-negotiable.

  • AI never auto-sends customer-facing content — every draft passes through /ops/approvals, and editing re-runs the same pre-send compliance scan (no bypass).
  • AI never issues a claim verdict — it drafts and assists only.
  • Experts and advocates draft their own work; you and ops approve it — AI does not draft their deliverables.
  • No percentage-of-claim or success fee, and no advocate fee-sharing — pricing is fixed-fee only.
  • No paid non-advocate representation before Consumer Commissions, and no outcome guarantees.
  • DPDP within 30 days — exports and deletions are processed on time; legal-retention blocks are surfaced, not silently overridden.
  • Team self-protection — the server blocks self-suspend and last-admin removal so an admin can’t lock the platform out.
  • Audit-log hash chain — daily snapshots plus chain verification detect any post-hoc edit of audit rows.
Note: The turnaround guarantee lives at the top of your briefing: no customer query should sit unanswered past its turnaround time. It is the first thing to clear each day.

Questions people ask

Can I make an AI reply go out automatically?
No. Every AI draft waits in /ops/approvals for a human approve/edit/reject, and each edit re-runs the same compliance scan. That gate cannot be wired around — even automation AI-draft actions queue there.
I invited someone but got an error that the email already exists.
That is the 409 guard. The email already has an account, so a toast points you to “Send set-up link” on that person’s row instead — that emails them a set-password link and retires any old password.
Why can’t I suspend my own account or change my own role?
Your own row’s controls are disabled, and the server also blocks self-suspend and last-admin removal, so you can never accidentally lock yourself — or the last admin — out of the platform.
A deletion request won’t execute — it says “Blocked by legal retention”.
Some records must be kept for a statutory period. The request is not deleted; the data stays under restricted access until its retention period ends. Approve the parts that are clear and let the retention block hold the rest.
Where are the approval queue and cadences — I don’t see them in the tab row?
They live under /ops/*, not in the AdminShell tabs. Reach the approval queue from a briefing “AI drafts awaiting your approval” row or the approvals footer, and the follow-up cadences via the approvals footer link.
